Planning fulfilment Modified on Thu, 15 Oct at 10:05 AM

The Fulfillment Plan is where you decide where each line will ship from before anyone picks anything. It assigns each product on the order to a stock location or a dropship vendor, lets you split a line across more than one source, and shows available stock at each source so you can see shortfalls before they become a problem on the floor.

Authorising the plan is what allocates stock to the sale at each ship-from location (dropship lines aren't allocated). Specific bins and batches are reserved later, at Pick.

✏ Updated after full article audit (15 Oct 2026): Corrected. The plan allocates stock rather than reserving it; reservation happens at Pick.
Until then the Order tab warns Fulfillment Plan for this sale is not yet authorized; stock is not allocated.

The plan is a per-sale tool, and every sale needs its own authorised plan. Once plans are authorised, the Fulfillment Workbench (see Using the Fulfillment Workbench) can release many of them into fulfilment orders at once, in priority order. It doesn't create or authorise plans, and it doesn't allocate stock.

✏ Updated after Confluence cross-check (15 Oct 2026): Corrected. The Workbench works from authorised plans rather than generating plans or allocating stock.

Before you start

  • The order must be Authorized. Until then the tab shows The fulfillment plan becomes available once the order is authorized.
  • Sale — Fulfilment full access (SaleFulfillmentFA) to edit the plan; read-only (SaleFulfillmentRO) users can view it. Authorising or undoing the plan needs Authorize/Undo Sale Fulfillment/Return (SaleFulfillmentReturnLifecycle).
    ✏ Updated after Confluence cross-check (15 Oct 2026): Used the permission's on-screen name.
✏ Updated after backend review (15 Oct 2026): Confirmed the permission code.
  • Set Preferred Fulfillment Location on the order if you want a default ship-from.

Build the plan

1. Open the Fulfillment Plan tab

Open the sale and click Fulfillment Plan in the side navigation. The info notice at the top reads Fulfillment plan shows stock that is not yet added to authorized fulfillments — once lines are picked up by an authorised fulfilment document they drop out of the plan.

The grid shows one row per product (with kit components nested beneath their parent):

Column Meaning
Product / SKU The ordered product
To Ship Qty Quantity still to be fulfilled, in the logistics UOM
Available Available stock at the chosen source (Draft plans only). Vendor sources show ∞
Ship From The source location or vendor

2. Generate the plan

Click Plan Fulfillment above the grid. VentryHub proposes a source for every line.

If the order has a Preferred Fulfillment Location, the button opens a menu with two options:

  • From Location "‹name›" Only — put every stocked line on that location, regardless of stock. Products set to always dropship still go to their vendor.
✏ Updated after full article audit (15 Oct 2026): Added that always-dropship products still go to the vendor.
  • Use Order Routing — let VentryHub choose sources using your fulfilment routing rules. It matches the ship-to address to a fulfilment zone (the most specific rule wins, with the Global zone as fallback), ranks that zone's locations by priority with the sale's preferred location first, then takes available stock from them in that order. The number of ship-from locations is capped by your Max fulfilment locations setting (default 1), kits are never split across locations, and dropship products go to their vendor according to their dropship settings.
✏ Updated after backend review (15 Oct 2026): Added how order routing chooses sources.
Routing tries to ship everything from a single location first. Available stock is on hand less reserved stock and safety stock. Locations set not to fulfil sales are skipped, as are Global-fallback locations that can't ship to the customer's country. An order is never split between a matched zone and the Global fallback; anything that can't be filled is backordered at the preferred location, or the first location that allows backorders.
✏ Updated after Confluence cross-check (15 Oct 2026): Added more routing detail from the routing spec.

Without a preferred location the button runs Use Order Routing directly.

If the plan already has lines, you're asked Replace the fulfillment plan? — Existing Ship From selections and splits will be lost and replaced with a new plan. Click Replace to regenerate or Cancel to keep your edits.

3. Review and adjust sources

For each top-level line, check Ship From and Available:

  • A location line whose Available is less than To Ship Qty is highlighted as a shortage.
  • To change the source, click the Ship From cell and pick from the list. The dropdown shows each location or vendor with its Available quantity. Kit components always follow their parent's source.
  • Vendor sources are dropship: the vendor ships direct to the customer and the line never enters pick/pack/ship at your site.

4. Split a line across sources (optional)

To ship part of a line from one place and the rest from another:

  1. Click the Split line action at the right of the row.
  2. In the Split Line dialog, enter the quantity for the new line (the helper shows the current quantity). Click Split.
  3. Set Ship From on the new row.

The split must leave both rows with a quantity above zero — Enter a quantity greater than 0 and less than the current line quantity. For a kit, every component is prorated and must also stay above zero (This split would leave a kit component with zero quantity.).

5. Save

Click Save in the page header. The plan remains Draft; no stock is allocated yet.

Authorise the plan

Click Authorize Fulfillment Plan in the page header. The plan status tag changes to Authorized, the Available column disappears (allocation is now committed) and Ship From becomes read-only.

Authorising sets aside the full plan quantity at each location. It isn't checked against stock on hand, so if a location is short, its available quantity goes negative rather than the authorisation failing. Specific bins and batches are reserved later, at Pick.

✏ Updated after backend review (15 Oct 2026): Answered how allocation works on authorise and what happens when stock is short.

Once every line has been fulfilled, the plan status rolls to Fulfilled.

Undo the plan

To change sources after authorising, click ⋮ → Undo Fulfillment Plan. The dialog Undo fulfillment plan explains: Are you sure you want to undo this fulfillment plan? Stock allocations will be released and the plan will return to draft. Confirm with Undo.

Undo is offered while the plan is Authorized or Fulfilled, and isn't blocked by fulfilments already created from it.

✏ Updated after backend review (15 Oct 2026): Confirmed that existing fulfilments don't block plan undo.
Undo releases only the allocation the plan still holds; fulfilments that are already authorised keep theirs.
✏ Updated after full article audit (15 Oct 2026): Clarified what plan undo releases.

What happens next

  • Lines on the authorised plan become the source for fulfilment documents. On the Fulfillments tab, create a fulfilment and use Prefill by Fulfillment Plan to pull in the lines for one ship-from source. See Pick, pack and ship.
  • The Order tab warning about unallocated stock clears.
  • When an Order Adjustment is authorised — even one that only changes prices — the plan automatically drops back to Draft and its allocated stock is released. The adjustment then shows Fulfillment Plan for this sale is not yet authorized; stock is not allocated. until the plan is re-authorised.
✏ Updated after Confluence cross-check (15 Oct 2026): Added the exact warning text.
✏ Updated after backend review (15 Oct 2026): Confirmed the automatic reset, and that it applies to every adjustment.
  • For dropship (vendor-sourced) lines, authorising the plan creates a draft vendor fulfilment for each vendor. Purchase orders are raised when that fulfilment is authorised (not while it's on credit hold); the sale shows Drop-ship purchase orders created or updated with links.
✏ Updated after backend review (15 Oct 2026): Confirmed the trigger point and added the draft vendor fulfilment step.
