Authorising a quote and converting to an order Modified on Thu, 15 Oct at 10:05 AM
Authorising a quote commits the price you've given the customer and opens the Order stage of the sale. Until the quote is authorised, the sale is a draft proposal; once authorised, the quote locks and the order becomes the working document for fulfilment and invoicing.
Use this when the customer has accepted the quote. If the customer is on credit hold, authorisation may be parked as On Credit Hold instead of going through — the second half of this article covers releasing it.
Before you start
You need:
- Authorize/Undo Sale Quote/Order (
SaleQuoteOrderLifecycle) to see Authorize Quote.✏ Updated after full article audit (15 Oct 2026): Used the permissions' on-screen names.Full-access (SaleQuoteOrderFA) alone lets you edit the quote but not authorise it. - Override Credit Hold (
SaleOverrideCreditHold), together with Authorize/Undo Sale Quote/Order, to see Release On Hold on a credit-held quote. - A saved quote in Draft status with at least one product line.
If the banner New sales are blocked for this customer is showing, every save and lifecycle action is blocked — including authorise. Clear the block on the customer record first.
Authorise the quote
1. Open the quote
Open the sale from Sale → Quotes (or Sales). The editor lands on the Quote tab. The status tag next to the breadcrumb shows Draft.
2. Check the quote is complete
Before it submits the authorisation, VentryHub validates the quote on your screen. It will stop and highlight the field if:
- there are no product lines (At least one line is required to authorize the quote.),
- Quote Date is empty,
- any line is missing a quantity, unit of measure, tax rule or price, or has a discount outside 0–100,
- the sale is in a foreign currency and Conversion rate is zero,
- total tax on the document is negative.
Fix the highlighted fields and save if prompted.
3. Click Authorize Quote
Click Authorize Quote in the top right of the page header. There is no confirmation dialog — the quote is saved and authorised in one step.
One of two things happens:
- Authorised. The quote status tag changes to Authorized and the quote fields lock. The Order tab now holds a Draft order. Go to step 4.
- Parked on credit hold. The quote status tag changes to On Credit Hold and a warning banner appears: This quote is on credit hold, followed by the reason recorded against the customer. The Order tab still shows The order becomes available once the quote is authorized. Go to Release a quote from credit hold below.
VentryHub makes the credit-hold decision when you authorise, using the customer's credit management settings (customer settings override customer-type settings, which override your organisation's). A quote is held when the customer is on manual credit hold, or when their total due, total overdue, oldest overdue days or overdue percentage exceeds its limit, or when the quote's own total exceeds the maximum allowed for a single document. Quotes below the minimum document total are never held, and an active override skips the check. An override lasts a set number of hours, after which the document is checked again. Credit checks can also be switched off for an individual customer, or for quotes altogether.
4. Build the order
Switch to the Order tab in the side navigation. The order starts empty — authorising the quote does not copy the lines across automatically.
- Click Prefill above the order lines grid to copy every line from the authorised quote. Prices, discounts and tax rules carry over exactly as quoted; tax and totals are recalculated against the order. A toast confirms N lines copied from the quote. If the quote has no lines you'll see The quote has no lines to copy.
- Alternatively, add lines manually with Add line, Family or Scan, exactly as on the quote. See Creating a quote for line entry.
- Set Order Date (required) and, if relevant, Requested Delivery Date and Preferred Fulfillment Location.
Prefill replaces whatever is already on the order, so run it before you make manual edits, not after.
5. Authorise the order
Click Authorize Order in the page header. The same validation rules as step 2 apply (at least one line, order date, line fields, conversion rate, non-negative tax).
On success the order status tag changes to Authorized. As with the quote, a customer on credit hold may instead leave the order at On Credit Hold; the Release On Hold button appears on the Order tab for users with the override permission.
Authorising the order doesn't raise dropship purchase orders. For dropship lines, the purchase orders are raised later, when the vendor fulfilment is authorised — see Planning fulfilment.
Release a quote from credit hold
A quote (or order) sitting at On Credit Hold is not authorised. It can be released by a user with Override Credit Hold.
1. Review the hold reason
The warning banner at the top of the sale shows the reason the hold was applied. Decide whether to proceed — the override is recorded against the document's audit history.
2. Click Release On Hold
On the Quote tab, click Release On Hold in the page header. It replaces the Authorize Quote button while the quote is on hold. There is no confirmation dialog.
The quote moves to Authorized and the order opens as Draft, exactly as if it had authorised cleanly. Continue from step 4 above.
The same Release On Hold button appears on the Order tab when the order is on hold, and on order adjustments, fulfilments and invoices that have been parked by the same rule.
If you don't want to release it
While the quote is on hold you can still:
- Reject Quote — mark it rejected (terminal; see Undo, reject and void).
- Undo Quote — return the quote to an editable draft, for example to reduce the value below the credit threshold and resubmit.
- Edit line comments and the quote note. Prices, quantities and dates are locked while on hold.
What happens next
Once the quote is authorised:
- The quote fields are read-only. Changing anything now means Undo Quote (if the order hasn't been authorised yet) or, after the order is authorised, an Order Adjustment.
- The Advance Payment tab appears on the quote for users with billing access, so deposits can be recorded against the sale. See Advance payments.
- The sale status rolls up to Quote Authorized, then Ordered once the order is authorised.
Once the order is authorised:
- Order Adjustments, Fulfillment Plan, Fulfillments and Invoices tabs appear in the side navigation.
- A warning on the Order tab reads Fulfillment Plan for this sale is not yet authorized; stock is not allocated. with a View Fulfillment Plan link until the plan is authorised. See Planning fulfilment.
- Invoicing can begin. See Issuing an invoice from a sale order.
