Modifying an order with an Order Adjustment Modified on Thu, 15 Oct at 10:05 AM
Once an order is authorised, its lines are locked. To change it — add a product, increase or reduce a quantity, correct a price — you record an Order Adjustment: a separate, numbered sub-document that holds the delta and is authorised in its own right. The original order stays exactly as the customer confirmed it, and every change is traceable to a dated adjustment.
Each adjustment line is a signed change against the order. A positive quantity adds to what's ordered; a negative quantity reduces it. The adjustment's Type is derived from its lines: Increase, Decrease, or Mixed.
Use an Order Adjustment when fulfilment or invoicing has already started, or whenever you need an audit trail of what changed. If the order is still untouched downstream, Undo Order followed by a direct edit may be simpler — see Undo, reject and void.
Before you start
- The order must be Authorized. Until then the Order Adjustments tab shows Order adjustments become available once the order is authorized.
- You need Sale — Quotes & Orders full access (
SaleQuoteOrderFA) to create and save, and Authorize/Undo Sale Quote/Order (SaleQuoteOrderLifecycle) to authorise.✏ Updated after full article audit (15 Oct 2026): Used the permissions' on-screen names. - Override Credit Hold is needed to release an adjustment parked on credit hold.
Create an adjustment
1. Open the Order Adjustments tab
Open the sale and click Order Adjustments in the side navigation. The tab lists any existing adjustments with Adjustment #, Date, Type, Total Impact and Status.
Click New adjustment (top right of the list), or Create a new adjustment in the empty state if there are none yet.
The editor opens at … / Order Adjustments / New Adjustment with status Draft.
2. Set the adjustment date
In the Adjustment Details card, confirm or change Adjustment Date (defaults to today). Adjustment # is assigned when you save.
3. Add the adjustment lines
In the Lines grid, enter one line per change:
- To add a product or increase a quantity, add the product with Add line or Scan and enter a positive quantity.
- To reduce a quantity, add the product and enter a negative quantity (for example
-2to take two units off the order). - To change a price, add two lines for the product: the current quantity as a negative at the old price, and the same quantity at the new price. The quantities cancel out and only the value changes. Fulfilments and invoices already created aren't changed. ✏ Updated after backend review (15 Oct 2026): The old one-line method also added units to the order. Replaced with the two-line method.Every adjustment line needs a non-zero quantity, but prices can be zero or negative, which is why a price-only change needs two lines.✏ Updated after Confluence cross-check (15 Oct 2026): Added why two lines are needed.
An adjustment can't take a product's total ordered quantity below zero — Order adjustment would cause negative quantity for product SKU "‹SKU›".
Quantities can be positive or negative but never zero. Price can be positive, zero or negative. Each line needs a unit of measure and a tax rule, and discount must be between 0 and 100.
Click Update Prices to refresh line prices from the customer's current price tier if the tier has changed since the order was placed.
4. Add a note (optional)
Click Add adjustment note to record a customer-visible note explaining the change. It prints on the adjustment document.
5. Save or authorise
- Save keeps the adjustment as a Draft. It has no effect on the order yet. An adjustment with no lines cannot be saved (Empty Order Adjustment cannot be saved.).
- Authorize Order Adjustment saves and applies it in one step. You can authorise an unsaved draft directly.
After the first save the editor moves to the adjustment's own URL and the Attachments and Audit tabs become available (Available once the adjustment is saved. until then).
Authorise the adjustment
Click Authorize Order Adjustment in the page header. VentryHub validates the lines as above and then applies the change.
On success the status tag reads Authorized. The Summary card shows Subtotal, Tax and Total Impact — the signed net change to the order value.
If the customer is on credit hold, the adjustment may instead be parked at On Credit Hold, with the banner This adjustment is on credit hold and the reason. A user with the override permission can click Release On Hold to apply it. Credit hold is checked on every adjustment — increases and reductions alike — against the order's new total (the original order plus all authorised adjustments plus this one).
If the sale's fulfilment plan is still a draft, an authorised adjustment shows a warning: Fulfillment Plan for this sale is not yet authorized; stock is not allocated. Follow the link to replan — see Planning fulfilment.
Reverse an adjustment
From the adjustment editor's ⋮ menu:
- Undo Order Adjustment — available while the adjustment is Authorized or On Credit Hold. The dialog Undo order adjustment explains: Are you sure you want to undo this order adjustment? It will be reverted to an editable draft and no longer applied to the order. Confirm with Undo. The lines become editable again.
- Void Order Adjustment — available on any saved adjustment that isn't already voided; requires Sale Void. The dialog Void order adjustment? warns: This voids the order adjustment. This action cannot be undone. Confirm with Void.
A voided adjustment stays in the list for audit but no longer affects the order.
Related fields
- Type — Increase (all lines positive), Decrease (all negative) or Mixed. Set automatically from the lines.
- Total Impact — signed net change in the sale currency. Shown as a dash for users without financial access.
- Status — Draft, On Credit Hold, Authorized, Voided.
While an adjustment is On Credit Hold, only the note can be edited. Date and lines are locked until it is undone back to Draft.
What happens next
Once authorised:
- The order's ordered quantities and value reflect the adjustment. The order's own lines remain as originally authorised — read the Order Adjustments list alongside the order for the current position. ✏ Updated after backend review (15 Oct 2026): Confirmed that the order's lines are never rewritten by an adjustment.
- If the fulfilment plan was Authorized or Fulfilled, it returns to Draft and its allocated stock is released — even for a price-only adjustment. The adjustment shows Fulfillment Plan for this sale is not yet authorized; stock is not allocated. until you re-authorise the plan. ✏ Updated after Confluence cross-check (15 Oct 2026): Added the exact warning text.✏ Updated after backend review (15 Oct 2026): Added that any authorised adjustment resets the plan.
- Remaining-to-fulfil and remaining-to-invoice quantities pick up the change. If fulfilment plans or fulfilments already exist, revisit the plan — see Planning fulfilment.
- Invoices created afterwards with Prefill Remaining include the adjusted quantities. See Issuing an invoice from a sale order.
- The adjustment is logged in the sale's Audit tab and has its own Attachments and Audit tabs.
