Undo, reject and void Modified on Thu, 15 Oct at 10:05 AM
Every lifecycle step in a sale can be walked back, but the three reversing actions mean different things:
- Undo reverts one document to an editable draft so you can change it and re-authorise. Nothing is lost; the document keeps its number.
- Reject Quote records that the customer declined. The quote stays on file for reporting but the sale does not proceed to an order.
- Void cancels permanently. A voided document (or sale) cannot be edited, re-authorised or undone.
This article covers these actions at the quote, order and whole-sale level. Undo and void for downstream documents (fulfilment, invoice, credit note, return disposition) are described in their own articles and summarised at the end.
Before you start
- Undo and Reject Quote require Authorize/Undo Sale Quote/Order (
SaleQuoteOrderLifecycle).✏ Updated after full article audit (15 Oct 2026): Used the permissions' on-screen names. - Void (whole sale) requires Sale Void (
SaleVoid), which is granted separately. - If New sales are blocked for this customer is showing, none of these actions will save.
All reversing actions live in the ⋮ (more actions) menu at the right of the page header, except Reject Quote, which is a red button in the header itself.
Undo a quote
Undo Quote is available on the Quote tab when the quote is Authorized, On Credit Hold, Rejected or Skipped, and the order has not been authorised. It is not shown on a Draft quote — there is nothing to undo.
- Open the Quote tab and click ⋮ → Undo Quote.
- The dialog Undo quote? explains: This reverts the quote to an editable draft state. Click Undo Quote to confirm or Cancel to keep the current status.
The quote returns to Draft with its lines intact and editable. Any Draft order that was opened by the authorisation is closed again (the Order tab reverts to The order becomes available once the quote is authorized.). Lines you had added to the draft order aren't deleted, but the order stays hidden until the quote is authorised again.
Use this to fix a price, add a line or clear a credit hold by reducing the quote value, then authorise again.
If the quote was Skipped (the sale was created directly as an order), Undo Quote reopens the quote stage — see Creating a sale order directly.
Reject a quote
Reject Quote is available on the Quote tab when the quote is Authorized or On Credit Hold and the order is still Draft (or not yet opened). It is not offered on a Draft quote — authorise it first or simply leave it as a draft.
- Open the Quote tab and click the red Reject Quote button in the header.
- There is no confirmation dialog. The quote moves to Rejected immediately and the sale status becomes Quote Rejected.
A rejected quote is read-only and does not appear in the open pipeline. It can still be reversed: Undo Quote remains available on a rejected quote and returns it to Draft, so a customer who changes their mind doesn't need a new sale.
Undo an order
Undo Order is available on the Order tab when the order is Authorized.
- Open the Order tab and click ⋮ → Undo Order.
- The dialog Undo order asks: Are you sure you want to undo this order? The order status will be reverted. Click Undo (red) to confirm.
The order returns to Draft and its lines, dates and location become editable again. The quote is unaffected.
Undoing the order also undoes what depends on it: the fulfilment plan returns to Draft and its allocated stock is released, and any authorised invoices, credit notes, returns and order adjustments return to Draft.
The undo is refused while any of these exist, with a message telling you what to remove first:
- advance payments on the sale — The order cannot be undone because advance payments are recorded against it. Please delete them first.
- payments on any of its invoices — The order cannot be undone because there are payments recorded for its invoices. Please delete them first.
- refunds on any of its credit notes — The order cannot be undone because there are refunds recorded for its credit notes. Please delete them first.
- a fulfilment at Authorized, Picked, Packed or Shipped — The order cannot be undone because authorized or in-progress sale fulfillment orders exist. Please void or undo them first.
If you need to change an order that is already in fulfilment or partly invoiced, use an Order Adjustment instead.
Void a sale
Void cancels the whole sale — quote, order and everything under them. It is available from the ⋮ menu on the Quote, Order and Fulfillment Plan tabs for users with Sale Void, as long as the sale isn't already voided.
It is deliberately not offered while you are inside a fulfilment, order adjustment, invoice, credit note or return disposition editor — in those places Void means that document only (see below).
- From the Quote or Order tab, click ⋮ → Void.
- The dialog Void sale? warns: This voids the sale. This action cannot be undone. Click Void (red) to confirm.
Before you can void, delete any advance payments, invoice payments and credit-note refunds on the sale, and void or undo any fulfilment at Authorized or later. The void is refused with a message naming what's left — the same checks as Order Undo above.
After voiding:
- The sale status tag shows Voided; the quote and order show Voided.
- All fields are read-only. The only thing you can still save on the Quote and Order tabs is the Internal Note.
- No new child documents can be created. Existing fulfilments, invoices and credit notes stay open for viewing.
- VentryHub voids the sale's order adjustments, invoices and credit notes, reversing their postings, and releases any stock allocated by the fulfilment plan. ✏ Updated after backend review (15 Oct 2026): Replaced a general statement with what voiding actually reverses.
A void cannot be undone. If there's any chance the sale will proceed, use Undo or Reject Quote instead.
Undo and void on downstream documents
The same pattern — Undo back to draft, Void as terminal — applies to each child document. Each one has its own menu items in the ⋮ menu of its editor:
| Document | Undo | Void | Notes |
|---|---|---|---|
| Order Adjustment | Undo Order Adjustment | Void Order Adjustment | See Order Adjustment |
| Fulfillment Plan | Undo Fulfillment Plan | — | Releases stock allocations. See Planning fulfilment |
| Fulfillment | Undo Fulfillment, Undo Pick, Undo Pack, Undo Ship | Void Fulfillment | Later stages are undone first. See Pick, pack and ship |
| Invoice | Undo Invoice | Void Invoice | Blocked while payments are recorded. See Issuing an invoice |
| Credit Note | Undo Credit Note, Undo Return | Void Credit Note | Blocked while refunds or authorised dispositions exist. See Issuing a credit note |
| Return Disposition | Undo Disposition | Void Disposition | Reverses stock and accounting movements. See Return disposition |
Every undo and void shows a confirmation dialog before anything is sent. Where a document can't be undone because of something downstream (payments on an invoice, refunds on a credit note), VentryHub tells you before the dialog opens rather than after.
What happens next
- After Undo, the document is back at Draft with its data intact. Edit it and authorise again when ready; the status tag and the sale's rollup statuses update on save.
- After Reject Quote, the sale shows Quote Rejected in Sale → Quotes and drops out of the open pipeline on the dashboard. Undo Quote remains available if the customer comes back.
- After Void, the sale shows Voided in every list. It stays searchable for audit and its child documents stay viewable, but nothing new can be created against it. Start a new sale instead.
- Every reversing action is recorded on the document's Audit tab with the user and timestamp.
