Creating a sale order directly Modified on Thu, 15 Oct at 10:05 AM

When the customer is ready to buy and no quote is needed — a repeat wholesale order, a phone order, a counter sale — you can start the sale at the Order stage and skip the quote. The sale record is the same; the quote stage is simply marked Skipped and the order becomes the first document.

There is no "skip quote" switch to set. VentryHub decides which stage the new sale starts at from where you enter the lines: lines on the Order tab mean an order-first sale; lines on the Quote tab mean a quote-first sale. Only one of the two can carry lines on a new sale.

Before you start

You need:

  • Sale — Quotes & Orders full access (SaleQuoteOrderFA) to create and save the order.
  • Authorize/Undo Sale Quote/Order (SaleQuoteOrderLifecycle) if you want to authorise it in the same step.
✏ Updated after full article audit (15 Oct 2026): Used the permission's on-screen name.
  • A customer record. Create one from inside the sale with New customer if needed.

Credit hold and sales-blocked behaviour is identical to a quote: a blocked customer can't be saved at all; a credit-held customer can be saved but authorisation may park the order On Credit Hold. See Authorising a quote.

Create the order

1. Start a new sale

From Sale → Dashboard, Sales, Quotes or Orders, click New Sale. The editor opens on the Quote tab.

2. Select the customer

Pick the customer in the customer search field at the top of the page, exactly as for a quote. Billing and shipping details populate from the customer record. See Creating a quote steps 2–3 for the customer, address and contact options.

You can do this on either tab — the customer belongs to the sale, not to the quote or order.

3. Switch to the Order tab

In the side navigation, click Order. In create mode the Order tab is always open (status Draft), so you don't need to authorise anything first.

4. Set the order details

Fill in the Order Details card:

  • Order Date — required for an order-first sale.
  • Requested Delivery Date — optional.
  • Preferred Fulfillment Location — optional; used as the default ship-from when the fulfilment plan is built.
  • Conversion rate — only shown for a foreign-currency sale; must be greater than zero.

5. Add the order lines

Add products in the lines grid using Add line, Family (variant matrix) or Scan, as described in Creating a quote step 4. Prices come from the customer's price tier and can be overridden per line.

The moment you start a line on the Order tab, the sale is committed to the order stage. If you had already entered lines on the Quote tab, VentryHub asks before discarding them:

Skip the quote? Entering order lines starts this sale at the order stage. The N lines entered on the quote will be discarded.

Click Discard Lines to continue on the order, or Cancel to go back and keep the quote.

The reverse also applies: if the order already has lines and you start entering lines on the Quote tab, you'll see Start from a quote? with the same choice.

6. Add notes (optional)

  • Add order note — a customer-facing note printed on the order document (up to 1000 characters).
  • Add internal note on the status plate — visible to your team only.

7. Save, or save and authorise

You have two options in the page header:

  • Save — creates the sale as a Draft order. You can come back to edit and authorise later.
  • Authorize Order — validates, creates the sale and authorises the order in a single step. This requires Authorize/Undo Sale Quote/Order.

Either way, VentryHub validates the order first and highlights any problems: missing Order Date, no product lines (authorise only), a line without quantity, UOM, tax rule or price, a discount outside 0–100, or negative total tax.

On success you'll see Created and the editor reloads on the saved sale's Order tab. The URL becomes /sale/view/<id>/order.

What happens next

  • The Quote tab remains in the side navigation but shows only Quote stage has been skipped for this sale. The quote status is Skipped.
  • If you saved without authorising, the order is Draft: lines, dates and location stay editable, and Authorize Order is available on the Order tab whenever you're ready.
  • If you authorised, the order is Authorized and the Order Adjustments, Fulfillment Plan, Fulfillments and Invoices tabs appear. A warning on the Order tab reminds you that the fulfilment plan isn't authorised yet and stock is not allocated — see Planning fulfilment.
  • The sale appears in Sale → Orders. It does not appear in Sale → Quotes.

Changing your mind about the quote

If the customer later asks for a formal quote after all, open the Quote tab and use ⋮ → Undo Quote. This reopens the quote stage as a Draft (the order must not yet be authorised). See Undo, reject and void.
